Understand the Gantt view

The video explains how to use the Project Gantt Chart and Task Gantt Chart to visualize and manage tasks and projects effectively. Gantt charts provide a big-picture view of tasks, templates, and projects, and are commonly used within portfolios to understand relationships between projects, especially those sharing resources.

Key features of the Project Gantt Chart include:

  • Viewing actual dates (green triangles), percent complete, milestone diamonds, milestone lines, and cross-project predecessors.
  • Progress status indicators: green (on-time), yellow (at-risk), and red (in trouble).
  • Displaying projected start and completion dates alongside planned dates.
  • Showing tasks within projects for a quick overview.

Key features of the Task Gantt Chart include:

  • Viewing actual dates, assignments (task owner and allocation percentage), baselines, commit dates, and percent complete.
  • Highlighting the critical path (red) and marking milestone tasks with diamonds or lines.
  • Checking predecessors within and across projects.
  • Progress status indicators: green (on-time), yellow (behind), light blue (at-risk), and red (late).
  • Displaying projected dates for tasks.

The video emphasizes the flexibility of Gantt charts, allowing users to customize views and display multiple elements simultaneously for better project management.

Understand the Gantt View. In this video, you’ll learn how to use the Project Gantt Chart and the Task Gantt Chart. Gantt charts are a great way to see the big picture. To open the Gantt Chart, all you need to do is click this icon. You’ll see it in a list of tasks, template tasks, and projects, both here and also in reports. A common use of the Gantt Chart is within a portfolio. It’s easy to see how projects relate to one another, especially if they’re sharing common resources. Click the gear icon in the Gantt Chart to see the real power of the Gantt Chart. Actual dates show up as little green triangles. Percent complete shows up right in the timeline. Milestone diamonds show all the milestones as diamonds for those projects that have a milestone path. Milestone lines is another option. Predecessors. This is a great way to see cross-project predecessors. Progress status. Green is for on-time, yellow for at-risk, and red for in trouble. Projected dates will be shown if selected here, or here. This shows the projected start and completion dates instead of the planned start and completion dates for each project. And of course, you can show as many of these as you want at a time. You also have a show tasks icon, which will display all the tasks in each project. This is a great way to get a quick look. Now let’s take a look at the task Gantt Chart. In the task list, you have a few more options. Actual dates are the same with the little green triangles. Assignments shows the task owner in the chart, and you can hover over it to see all of the assignees and their allocation percentage. Baseline shows all the baselines in the project, making it easy to compare changes. If a commit date was made, you can see it with this marker. Percent complete is the same as in projects. The critical path shows as red. Milestone diamonds mark the planned completion date of each milestone task. Milestone lines are another option. Predecessors. This makes it easy to double check predecessors within your projects. If you have cross project predecessors, you can check them too. Hover over the icon to get more information. Progress status. This is a little bit different than project progress status. Here, green is still for on time, but yellow is for behind. Light blue means at risk, and red means late. Projected dates work the same for tasks as they do for projects.
