The project team in a work front project is not like a team you would create with the Teams feature. That’s a totally separate thing. The project team is a group of people that either have or have had something to do with a particular project. The best way to understand this is to create a new project from scratch. Then go look at the People tab. This is the project team. Notice that since I created the project, I’m automatically assigned to be the project owner, and consequently I’m on the project team. The project team is populated automatically by work front when you assign a user a task or when you assign a project owner. Now Doug Phillips is on the project team. What if I change the project owner? Now I’ve made Roy the project owner and he’s on the project team, but Joan Harris is still there. Users are not automatically removed from the project team when you take away their assignment. This is something you have to update manually. It’s easy to do. Just select one or more people and click the Remove button here. You can also add someone manually if you want to, even if they don’t have an assignment. This is also a handy place to go and send an update to everyone on the team. This will put an update at the project level with all these people included. Why does it matter if your project team gets out of date? Besides any updates you may send to the team from here, your system administrator may also activate some email notifications that go to the project team. We can see these over here in Setup. We can search for all notifications that reference the project team. Like to send an email to the whole project team every time a document is added to the project, or every time a milestone task is completed, or every time an issue is added to the project, or an issue is completed, and so on. Notice that all these descriptions refer to a project I’m on. That means everyone on the project team. And one more thing. When you’re looking at a list of projects, you have a handy button to see the projects you’re on. The way Workfront knows who’s on a project is because they’re on the project team.
